Terms of Service

These Terms of Service govern your access to and use of Role Ascent. By creating an account or using any part of the Service you agree to be bound by these Terms. Please read them carefully.

1. Parties and Agreement

These Terms of Service ("Terms") form a legally binding agreement between you ("User", "you", "your") and the operator of Role Ascent ("Role Ascent", "we", "us", "our"), an Australian business (ABN: [INSERT ABN]).

By registering an account, ticking the acceptance checkbox, subscribing to a plan, or using any feature of the Service, you confirm that:

  • You are at least 18 years of age;
  • You have read, understood, and accept these Terms and our Privacy Policy; and
  • If acting on behalf of an organisation, you have authority to bind that organisation to these Terms.

If you do not agree to these Terms, you must not create an account or use the Service.

2. Description of Service

Role Ascent is an AI-assisted career coaching platform designed to assist candidates applying for roles in the Australian Public Service (APS) and similar government or professional contexts. The Service includes the following modules (availability depends on your subscription plan):

  • Resume Optimiser — ATS score analysis, keyword enhancement, and AI-assisted rewriting of your resume against a specific job description.
  • STAR Builder — AI-structured Situation–Task–Action–Result stories mapped to APS Integrated Leadership System (ILS) capabilities.
  • Application Tracker — Kanban-style job application pipeline management.
  • Interview Coach — AI-generated interview question banks tailored to a role.
  • Panel Simulator — Live simulated panel interviews with AI panellists and a post-simulation debrief report.
  • Career Design — 90-day capability gap analysis and career roadmap.
  • Coach Workspace — Multi-client management tools for career practitioners.
  • Leaderboard — Community ELO ranking based on STAR story quality (opt-in public profile required).

We reserve the right to modify, suspend, or discontinue any feature of the Service at any time with reasonable notice. We will not reduce the core functionality of your current plan mid-subscription period without providing a pro-rata refund for the affected period.

3. AI Disclaimer — Read Carefully

Important limitations of AI-generated content

Role Ascent uses large language model (LLM) AI technology to generate suggestions, rewrites, and coaching content. This content is provided as a starting point and productivity aid only. It is not professional career advice, legal advice, HR advice, or a guarantee of any employment outcome.

You acknowledge and agree that:

  • AI outputs may be inaccurate. Language models can produce plausible-sounding but factually incorrect, outdated, or contextually inappropriate content. Always review all AI-generated output before using it in a job application or professional context.
  • You are solely responsible for the accuracy of your application. Before submitting any AI-assisted resume, cover letter, or selection criteria response, you must verify that all claims are truthful, accurate, and capable of being substantiated. Submitting false information in a government job application may constitute a criminal offence.
  • No outcome guarantee. The APS and other employers use merit-based selection processes. Using Role Ascent does not guarantee shortlisting, an interview, a merit listing, or a job offer. We make no representation that our tools will improve your chances of employment.
  • APS employees — secondary employment obligations.If you are a current APS employee, you are responsible for ensuring your use of Role Ascent complies with your agency's secondary employment policy, any conflict-of-interest obligations under the Public Service Act 1999 (Cth) and the APS Code of Conduct, and your individual employment agreement or Enterprise Agreement.
  • AI content does not constitute your work level standard. APS work level standards and job-specific competencies are determined by the relevant agency. AI-generated capability descriptions in STAR stories should be reviewed against the actual Work Level Standards published by the Australian Public Service Commission.
  • Coach users. If you use Role Ascent to prepare content on behalf of a client, you remain responsible for ensuring the content is accurate, appropriate, and lawful before providing it to your client. We are not liable for any advice or documents you provide to third parties using content generated through the Service.

4. Eligibility and Account

Age requirement

You must be at least 18 years old to create an account. By registering, you represent and warrant that you meet this requirement. We do not knowingly provide the Service to persons under 18.

Account security

You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately at support@roleascent.com if you suspect unauthorised access to your account. We are not liable for any loss resulting from unauthorised use of your credentials where you have failed to take reasonable precautions.

Accurate information

You agree to provide accurate, current, and complete information when registering and to keep this information up to date. We may suspend accounts where we have reason to believe the information provided is false or misleading.

One account per person

Each individual may hold one personal account. Coach plan holders may manage multiple client workspaces within a single account as permitted by their plan tier.

5. Subscriptions and Billing

Plans and pricing

Role Ascent offers a free tier and paid subscription plans billed monthly in advance. Current plan details, features, and pricing are published at /pricing. The free tier is provided at our discretion and may be modified or withdrawn at any time.

Automatic renewal

Paid subscriptions renew automatically each calendar month on the anniversary of your subscription start date. By subscribing, you authorise Role Ascent (via our payment processor, Stripe) to charge your payment method on file at each renewal date.

Cancellation

You may cancel your subscription at any time via the Billing portal within the app (Account → Billing → Manage Subscription). Cancellation takes effect at the end of your current paid billing period. You will retain access to paid features until that date. No refund is issued for the unused remainder of a billing period, except as required by the Australian Consumer Law (see Refunds below).

Refunds

We do not issue refunds for partial billing periods or unused usage allocations as a general policy. However, you may be entitled to a refund or remedy under the Australian Consumer Law (ACL) if the Service has a major failure — that is, if the Service substantially fails to meet the features described at the time of your subscription and the failure cannot be rectified within a reasonable time. To request a refund, contact support@roleascent.com within 14 days of the charge.

Price changes

We may change subscription prices with at least 30 days' prior written notice by email. Price changes take effect at your next renewal date following the notice period. Continued use of the Service after the new price takes effect constitutes acceptance of the updated pricing.

Usage limits

Each plan includes a monthly AI usage allocation (measured in analysis calls) as described on the pricing page. Unused allocations do not carry over to subsequent months. Exceeding your allocation will restrict AI features until your next billing period. Staff and admin roles assigned by Role Ascent are not subject to usage limits.

Stripe payment processing

Payments are processed by Stripe, Inc. (USA). By subscribing, you agree to Stripe's terms of service. We do not store your payment card details — these are held securely by Stripe. We store only your Stripe Customer ID for account management.

Failed payments

If a payment fails, Stripe will retry according to its dunning policy. If payment is not collected within the grace period, your account will be downgraded to the free tier. Access to paid features (including analysis history) will be restored upon successful payment.

6. Acceptable Use

You agree not to use the Service to:

  • Generate content that contains false, misleading, or fraudulent representations for use in a job application or any other context;
  • Produce content that infringes the intellectual property, privacy, or other rights of any person;
  • Reverse-engineer, decompile, disassemble, or attempt to extract the source code, AI prompts, or model weights underlying the Service;
  • Use automated scripts, crawlers, bots, or other technical means to access the Service at scale or to scrape output, without our prior written consent;
  • Resell, sublicense, or commercialise the Service or AI-generated outputs as your own product or service without our prior written consent;
  • Share your account credentials or allow third parties to access the Service through your account (except as permitted for coach accounts managing clients);
  • Upload or submit malicious code, files designed to compromise system security, or content that is defamatory, harassing, or illegal;
  • Circumvent, disable, or otherwise interfere with security-related features of the Service;
  • Use the Service in any way that violates applicable Australian, state, or international laws, including the Competition and Consumer Act 2010 (Cth) and the Privacy Act 1988 (Cth);
  • Impersonate another person or entity in an account registration or job application.

We reserve the right to suspend or terminate your account immediately and without notice for material breach of these acceptable use obligations. We may report suspected illegal activity to relevant authorities.

7. Intellectual Property

Our intellectual property

The Service — including its source code, design, branding, system prompts, evaluation frameworks, STAR scoring methodology, and documentation — is owned by Role Ascent and protected by Australian and international copyright, trade mark, and intellectual property law. You may not copy, reproduce, create derivative works from, or distribute any part of the Service without our prior written permission.

Your content

You retain ownership of all resume text, job descriptions, cover letters, and other content you upload or create using the Service ("User Content"). By submitting User Content, you grant us a limited, non-exclusive, royalty-free, worldwide licence to process, store, and transmit your User Content solely to the extent necessary to provide the Service to you. We do not claim ownership of your User Content and will not use it for any purpose other than delivering the Service.

AI-generated outputs

Rewritten resumes, cover letters, STAR stories, and other content generated for you by the AI system are provided for your personal use in job applications and career development. To the extent that AI-generated outputs are capable of copyright protection under Australian law, any such rights are assigned to you. We make no claim of ownership over your AI-generated outputs.

Feedback

If you provide feedback, suggestions, or ideas about the Service, you grant us an irrevocable, perpetual, royalty-free licence to use that feedback for any purpose, including product improvement, without obligation to you.

8. Coach Accounts and Client Data

This section applies if you hold a Coach Starter or Coach Pro subscription and use the Service to provide career coaching services to third-party clients.

Your responsibility as a data controller

When you upload or submit personal information belonging to your clients (including resumes, employment history, and contact details), you act as the data controller for that information and are responsible for:

  • Obtaining your client's informed consent to process their personal information using Role Ascent and its AI providers (including Anthropic);
  • Providing your clients with a privacy notice that accurately describes how their data will be handled;
  • Ensuring your use of client data complies with the Privacy Act 1988 (Cth) and any applicable state or professional obligations;
  • Not uploading sensitive information (Tax File Numbers, health information, financial account details) unless your client has expressly consented.

Our role as a data processor

In respect of client data you submit, Role Ascent acts as a data processor on your instructions. We process client data solely to deliver the Service to you and do not use it for any independent purpose. Our Privacy Policy describes the sub-processors (including Anthropic) we engage to process data on your behalf.

Liability for client content

You indemnify Role Ascent against any claims, losses, or regulatory actions arising from your failure to obtain proper consent from your clients or your misuse of their personal information.

9. Limitation of Liability

To the maximum extent permitted by the Australian Consumer Law and other applicable law:

  • No warranty.The Service is provided "as is" without any warranty, express or implied, including any warranty of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that AI-generated outputs will be accurate or suitable for your purpose.
  • Exclusion of consequential loss. To the extent permitted by law, we are not liable for any indirect, incidental, special, exemplary, or consequential damages arising from your use of the Service, including but not limited to: loss of employment opportunity, loss of income or anticipated savings, loss of data, or damage to reputation — even if we have been advised of the possibility of such damages.
  • Cap on liability. Our total aggregate liability to you for any and all claims arising from or relating to the Service (whether in contract, tort, statute, or otherwise) is limited to the total subscription fees you paid to us in the 12 calendar months immediately preceding the event giving rise to the claim, or AUD $100, whichever is greater.
  • Essential services. Nothing in these Terms excludes any guarantee, warranty, or right you have under the Australian Consumer Law that cannot be excluded by agreement (for example, the guarantee that services will be rendered with due care and skill). Where such a guarantee applies, our liability is limited, to the extent permitted by law, to supplying the services again or paying the cost of having them supplied again.

10. Indemnity

You agree to indemnify, defend, and hold harmless Role Ascent and its directors, officers, employees, contractors, and agents from and against any claims, liabilities, damages, judgments, awards, losses, costs, and expenses (including reasonable legal fees) arising out of or relating to:

  • Your breach of these Terms;
  • Your violation of any applicable law or regulation;
  • User Content you submit that infringes a third party's intellectual property, privacy, or other rights;
  • Misrepresentations made in job applications using AI-generated content;
  • Your failure, as a coach, to obtain proper consent from clients whose data you process through the Service; or
  • Any third-party claim arising from your use of AI-generated outputs outside the scope of these Terms.

11. Third-Party Services

The Service relies on third-party providers including Anthropic (AI processing), Supabase (database and authentication), Stripe (payment processing), Resend (email), Sentry (error monitoring), and PostHog (analytics). By using the Service, you acknowledge that your data is processed by these providers subject to their own terms of service and privacy policies.

We are not responsible for the availability, accuracy, or conduct of any third-party service. Outages or failures of third-party services may affect the availability of features within Role Ascent. We will use reasonable endeavours to minimise disruption.

The Service may contain links to external websites. We do not endorse and are not responsible for the content of external sites.

12. Termination

Termination by you

You may close your account at any time via Account → Settings → Delete Account or by emailing support@roleascent.com. Closing your account will cancel any active subscription at the end of the current billing period and initiate deletion of your personal data in accordance with our Privacy Policy. Analysis history and generated documents will be deleted within 30 days.

Termination or suspension by us

We may suspend or terminate your access to the Service immediately and without notice if:

  • You materially breach these Terms (including the Acceptable Use provisions) and fail to cure the breach within 7 days of notice (or immediately where the breach is incapable of remedy);
  • We reasonably suspect fraud, abuse, or criminal conduct;
  • Continuation of your account poses a security or legal risk to us or other users; or
  • We are required to do so by law or court order.

Where feasible, we will provide advance notice and an opportunity to remedy before termination, except in cases of fraud or serious misconduct.

Effect of termination

Upon termination, your right to use the Service ceases immediately. We may retain certain records as required by law. Sections 3, 7, 9, 10, 14, and 15 survive termination.

13. Governing Law and Dispute Resolution

Governing law

These Terms are governed by the laws of the Australian Capital Territory (ACT), Australia, without regard to conflict-of-law principles.

Dispute resolution

We encourage you to contact us first if you have a concern: support@roleascent.com. We will endeavour to resolve disputes informally within 30 days of receiving written notice.

If a dispute cannot be resolved informally, either party may refer it to the ACT Civil and Administrative Tribunal (ACAT) or the relevant Australian court of competent jurisdiction. Nothing in this clause limits any rights you have under the Australian Consumer Law, including the right to contact the ACCC or your state consumer protection agency.

International users

The Service is operated from Australia and is primarily designed for Australian users. If you access the Service from outside Australia, you do so on your own initiative and are responsible for compliance with local laws. We make no representation that the Service is appropriate or available in your jurisdiction.

14. Changes to These Terms

We may update these Terms at any time. We will provide at least 14 days' prior notice of material changes by email to your registered address and by posting a notice in the app. The updated Terms will identify the effective date.

If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the new Terms take effect. Continued use of the Service after the effective date constitutes your acceptance of the updated Terms. For material changes, we will require you to click through a new acceptance before continuing to use the Service.

15. General

Entire agreement

These Terms, together with the Privacy Policy, constitute the entire agreement between you and Role Ascent regarding the Service and supersede all prior representations, negotiations, or agreements.

Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, that provision will be modified to the minimum extent necessary to make it enforceable, or severed if modification is not possible, and the remaining provisions will continue in full force and effect.

Waiver

Our failure to enforce any provision of these Terms on any occasion does not constitute a waiver of our right to enforce it in future.

Assignment

You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign these Terms (in whole or in part) to a successor entity in connection with a merger, acquisition, or sale of assets, provided that the successor assumes all obligations under these Terms. We will provide reasonable notice of any such assignment.

Force majeure

We are not liable for any failure or delay in performance caused by circumstances beyond our reasonable control, including natural disasters, internet outages, third-party service failures, or government actions.
